Compliance Officer

About the Position
We are seeking a detail-oriented and commercially aware Compliance Officer with experience in regulated industries and direct exposure to U.S. compliance requirements.
This is not a purely administrative compliance role.
You will research regulatory requirements, maintain compliance documentation, review business activities for potential risks, support internal teams, monitor regulatory changes, and help translate legal and regulatory requirements into practical operational controls.
The ideal candidate understands that compliance in a fast-moving distribution business requires both strong attention to regulation and the ability to implement workable processes across Sales, Operations, Logistics, Product, Finance, and Technology.
Experience in regulated consumer products, tobacco/nicotine, alcohol, pharmaceuticals, financial services, healthcare, food/beverage, chemicals, or other highly regulated industries will be particularly relevant.
Key Responsibilities
U.S. Regulatory Compliance
- Research and monitor applicable U.S. federal, state, and local regulatory requirements.
- Track regulatory changes and assess their potential impact on business operations.
- Maintain organized regulatory requirements, compliance documentation, policies, and internal records.
- Support implementation of new compliance requirements across relevant departments.
- Prepare clear internal summaries of regulatory changes for operational and management teams.
- Escalate potential compliance risks or regulatory gaps to management.
Product & Distribution Compliance
- Support compliance reviews for products distributed through the company's B2B ecosystem.
- Review product and supplier documentation for completeness and compliance requirements.
- Help maintain required licenses, certificates, declarations, and supporting documentation.
- Support controls around regulated products, restricted jurisdictions, customer eligibility, and transaction requirements.
- Assist with product onboarding compliance before products become commercially available.
- Work with Operations and Product teams to identify potential compliance risks within existing workflows.
Customer & Business Verification
- Support business/customer verification and due-diligence processes.
- Review documentation submitted by retailers, distributors, suppliers, and other business partners.
- Identify missing, inconsistent, expired, or potentially problematic documentation.
- Maintain appropriate compliance records and audit trails.
- Support escalation and remediation of higher-risk accounts or transactions.
Compliance Operations & Controls
- Develop and maintain compliance checklists, SOPs, policies, and internal controls.
- Conduct periodic compliance reviews and identify process gaps.
- Support internal audits and compliance investigations.
- Track corrective actions and ensure identified issues are properly followed through.
- Maintain accurate and audit-ready compliance records.
- Assist teams in embedding compliance requirements into everyday operational processes.
Odoo, Data & Compliance Automation
- Maintain accurate compliance-related information and documentation within Odoo and other company systems.
- Work with Odoo, Product, and Engineering teams to translate compliance requirements into system controls and workflows.
- Identify opportunities to automate compliance checks, alerts, document expiration tracking, approvals, and monitoring.
- Help define requirements for compliance dashboards and management reporting.
- Validate that automated controls reflect documented business and regulatory requirements.
Cross-Functional Support
- Work closely with Operations, Sales, Logistics, Finance, Product, Technology, and management.
- Provide practical compliance guidance to internal teams.
- Support compliance training and awareness initiatives.
- Coordinate with external legal counsel, regulatory specialists, suppliers, and other parties when required.
- Communicate complex requirements clearly to non-legal and non-compliance stakeholders.

Requirements
Must Have
- 2–4 years of professional compliance, regulatory affairs, risk, legal operations, or related experience.
- Direct experience supporting U.S. market regulatory or compliance requirements.
- Experience working within a regulated industry.
- Strong ability to research and interpret regulatory requirements.
- Understanding of compliance controls, policies, SOPs, documentation, and audit trails.
- Experience conducting compliance reviews or due diligence.
- Strong documentation and record-management skills.
- Ability to translate regulatory requirements into practical business processes.
- Strong analytical skills and exceptional attention to detail.
- Strong Microsoft Excel, Word, and general computer skills.
- Comfortable working with ERP, CRM, document-management, or other enterprise systems.
- Excellent written and spoken English.
- Ability to communicate effectively with U.S.-based stakeholders.
- Ability to work independently in a remote environment.
- Must currently reside in India.
Strongly Preferred
- Experience in tobacco, nicotine, vaping, beverages, food, pharmaceuticals, healthcare, chemicals, financial services, or another highly regulated U.S. industry.
- Experience with U.S. federal and state-level regulatory research.
- Exposure to product compliance, licensing, customer/business verification, or distribution compliance.
- Experience working with wholesalers, distributors, retailers, marketplaces, or supply-chain businesses.
- Experience managing regulatory documentation across multiple U.S. states.
- Familiarity with Odoo ERP, SAP, Oracle, Microsoft Dynamics, or another enterprise ERP.
- Experience using technology or automation to improve compliance processes.
- Experience supporting audits, investigations, remediation, or regulatory reporting.
- Bachelor's degree in Law, Business, Finance, Commerce, Risk Management, or a related discipline.
